A private event is an invitation-only gathering created for a specific group of guests rather than the general public. That can include milestone birthdays, family celebrations, private dinners, engagement parties, executive gatherings, and invitation-only brand events. Because the guest experience is more controlled, planners can tailor everything from the venue and menu to entertainment, seating, privacy, and service around the people in the room.
How do you keep a private event private?
Discretion at a private event is a set of controls, not a promise. Privacy starts long before guests arrive. Depending on the event, EMRG Media can coordinate controlled guest lists, private entrances, check-in procedures, photography policies, vendor confidentiality requirements, security, and staff protocols. For high-profile and private clients, these details are built into the event plan so discretion is managed throughout the experience rather than treated as an afterthought.
What types of private events does EMRG Media plan in New York City?
Can EMRG Media host a private event at its own venues?
What is different about holding a private event at a home or residence?
A residence doesn’t come with the built-in event infrastructure of a traditional venue, so the planning has to account for what’s missing. In NYC apartment and condo buildings, that may mean scheduled freight-elevator access, vendor certificates of insurance, delivery restrictions, and building approvals. Power, catering equipment, rentals, restrooms, noise, and load-in also have to be considered before the first vendor arrives.
What guest counts work for a private event in NYC?
The room sets the limit more than the guest list does. A standing reception generally needs about 12 to 15 square feet per guest, while a seated dinner with a dance floor may need 20 to 25. But that’s only the starting point. Bars, stages, bands, food stations, lounge furniture, and production all take usable floor space, so the full layout matters before deciding how many guests a venue can comfortably accommodate.
How much lead time does a private event need?
A private celebration of 150 guests or more wants 6 to 12 months for the best venue access, particularly on a Saturday. Smaller private gatherings often come together in 6 to 10 weeks. Residential events need at least 3 to 4 weeks on top of the plan for building approvals and vendor insurance.
