What is the weather backup plan for a rooftop event?
A rooftop booking is only as good as its backup, and the backup has to be in the contract. The three workable options are an indoor fallback room held on the same date, a tent that can be installed on the roof, or a stated call time when the decision gets made. That call time matters most: it should be 24 to 48 hours ahead, because catering, staffing, and rentals all need to know. A rooftop with no fallback and no call time is a gamble, not a venue.
How does EMRG Media choose a rooftop for an event?
EMRG Media works from the date, the headcount, and the view a client actually wants, then shortlists rooftops that fit and arranges walkthroughs at the time of day the event will run, since a deck at noon and the same deck at golden hour are different rooms.
What does wind do to a rooftop event?
Wind is the constraint people forget, and it strengthens with height. Anything above about 15 to 20 miles per hour makes lightweight décor, florals, printed materials, and paper menus unusable, and open flame is generally prohibited regardless. Umbrellas and lightweight signage have to be weighted or left out. Above roughly 25 miles per hour most tent installations cannot safely stay up, which is when a fallback room earns its cost.
Can EMRG Media source venues beyond rooftops?
Yes. Rooftops sit inside EMRG Media’s wider venue sourcing, alongside ballrooms, lofts, galleries, and private dining rooms, with one producer matching the space to the event indoors or outdoors.
When should a rooftop event start to take advantage of sunset and golden hour?
We typically build the timeline around sunset rather than using a fixed start time. As a general guideline, guests should arrive 60–90 minutes before sunset so the event can begin in daylight and naturally transition into golden hour and evening. In New York City, sunset can be around 8:30 PM in late June and closer to 6:30 PM by late September, so a 7:00 PM start could create a golden-hour experience in June but a nighttime event later in the year. We also plan photography, speeches, and other key moments around the changing light to make the most of the rooftop setting.
Does EMRG Media produce rooftop events for corporate clients?
Yes. EMRG Media sources and produces rooftop programs for Fortune 500 brands, banks, universities, and media companies, from a terrace mixer to a full skyline gala.
What is different about load-in on a rooftop?
Everything has to go up, usually through a single service elevator, and often in pieces. Freight capacity sets the size of anything that can be brought in, so staging, bars, and furniture may need to break down. Buildings commonly restrict service elevator use to set hours, which pushes load-in a day early. And rooftop power is often limited to what the building’s roof mechanicals allow, so lighting and catering equipment frequently need a distributed plan or a generator.
