What is the difference between an event planner and an event producer?
An event planner manages the overall event experience, including the venue, vendors, guest logistics, timeline, and other planning details. An event producer focuses on bringing the event to life through staging, lighting, sound, audiovisual elements, and technical execution. Those roles overlap more as event day gets closer, which is why having planning and production working together matters. When they operate in separate silos, missed details and last-minute handoffs can create problems that should have been solved weeks earlier.
How does the EMRG Media event planning process work?
Do I need an event planner if my venue already has a coordinator?
Yes. A venue coordinator manages the venue and the services that come with it. An event planner manages the event as a whole. A mid-size event can involve 12 to 20 vendor relationships across catering, florals, AV, entertainment, staffing, rentals, transportation, and security. Someone needs to own how all of those pieces work together, not just what happens inside the venue’s scope.
Can EMRG Media take over an event that is already partly planned?
Yes. EMRG Media regularly steps into events already in motion, whether the venue is booked, vendors are half-contracted, or the date is locked and the plan is not. The team audits what exists, flags the gaps, and takes it from there.
What size events does EMRG Media plan?
EMRG Media plans events from 10-person private dinners to programs of 2,000 guests and beyond. The team is also the exclusive event producer for Nebula and the Amber Room, two Manhattan venues, so many events move straight into a room the production team already knows down to the power drops.
How far in advance should I hire an event planner in New York City?
Lead time in New York City tracks the size of the event. A program of 300 guests or more wants 6 to 9 months for real venue choice. Events of 50 to 150 land comfortably at 3 to 4 months. Dinners and small gatherings work for 4 to 8 weeks. Peak windows compress all of it. Prime December and September dates start disappearing 14 to 16 weeks out, and a Friday goes before a Tuesday every time.
